A Shared Mailbox is a powerful collaboration tool for these scenarios! It allows multiple users to access and manage the same mailbox, making teamwork and email management simple and efficient. Here’s your step-by-step guide to unlocking the full potential of Shared Mailboxes!

 

How to Apply for or Update a Shared Mailbox

Faculty and staff at the International Campus—this is for you! Applying for or updating a Shared Mailbox is quick and easy:

1. Where to apply:

Log in to myZJU. Under 办事公开 (Service Hall), find 国际校区公共邮箱 (INTL Mailbox) 服务, and click 线上办理 (Online Application).

2. Choose the service you need:

On the application page, select the service that fits your needs:

New Application:

Choose Apply for a New Shared Mailbox, fill in the contact details and mailbox information, read and agree to the Terms of Use, and submit your request with one click!

Information Update / Permission Change / Admin Update:

Choose Update an Existing Shared Mailbox, select the mailbox you want to update, fill in the new details, read and agree to the Terms of Use, and submit.

Note: When updating, you’ll need to provide a complete list of administrators. The system will replace the old list with the new one and update permissions accordingly.

 

How to Link and Use a Shared Mailbox

Once your application is approved, admins can easily add and use the Shared Mailbox in Outlook!

1. Log in to Outlook Web:

Go to outlook.office.com/mail and sign in with your INTL ID.

2. Add the Shared Mailbox:

In the left-hand navigation panel, right-click Folders, then select Add Shared Folder or Mailbox.

3. Enter the Mailbox Address:

Type in the Shared Mailbox address (e.g., itc@intl.zju.edu.cn). Once added, it will appear in your navigation panel for easy access!

 

Expand the Shared Mailbox folder to manage emails, and keep track of both your personal inbox and the Shared Mailbox at the same time.

Once added to the web version, your desktop Outlook client will automatically sync new emails—no need to worry about missing any updates!
